Privacy Policy

Last updated: November 10, 2026

This policy explains what personal information Dapo Martial Arts collects, why we collect it, who else handles it for us, and how to reach us about it. It covers our website, bookings for a free trial class, and the records we keep for students and their families.

Who is responsible

Dapo Martial Arts is operated by 1639099 Ontario Incorporated, which is responsible for the personal information described here. Riezl Samson oversees how we handle it. You can reach her at admin@dapomartialarts.com, by phone at 905-817-0453, or by mail at 8-1010 Dream Crest Rd, Mississauga, ON L5V 3A4.

When you book a free trial class

The Book a Free Trial Class buttons on this site open a booking page run by Spark Membership, the software we use to manage classes and enquiries. On it you give us your name, phone number and email address, the student’s name (and a parent’s name when the student is a child), the class you would like to try, and the dates and times that suit you. If you are booking for a child, please enter your own contact details as the parent or guardian.

That information goes into our Spark Membership account so we can hold your place. Booking also sends a notification email to our admin inbox, which runs on Google Workspace, and starts follow-up emails and text messages about your trial class. Our admin team usually phones new bookings to answer questions and confirm the details. You will also receive our newsletter for up to six months unless you unsubscribe, and when you sign the waiver for your trial class you can choose to keep receiving it after that (see Emails and texts).

After booking, we ask you to complete our student application, which includes the trial class waiver. It asks for the student’s birthday, any medical concerns we should know about, the days that suit you, your goals for training, anything else you would like to tell us, how you heard about us, and whether you would like our newsletter. For a child, it also asks for their school and for the names and mobile numbers of two parents, or of a parent and an emergency contact, and the name of the parent signing. For an adult, it asks for an emergency contact’s name, phone number and relationship. We ask about the school so a new child can be paired with someone from the same school during the trial class, and about medical concerns and emergency contacts so we can teach safely and reach someone if anything happens in class. Your answers and your signed waiver are kept in the same Spark Membership profile as your booking.

Bookings for our partner location use the same Spark Membership account and are shared with the partner who runs that location, who uses them for the same purposes.

When you use our contact form

Our contact form, and the enquiry forms on our school, corporate and community workshop pages, are provided by Spark Membership. What you enter in them (for example, the student’s name and birthday, your email address and mobile number, parents’ or guardians’ names, the programs and location you are interested in, and your goals) goes into our Spark Membership account, and we reply by email or phone.

Students and families

When someone enrols, we collect what we need to teach them safely and run their membership: the student’s name, birthdate, photo, address, phone number, email address and school; the names of parents or guardians; allergies, special needs, injuries and other medical information; credit card details for payments; and the signed training agreement and waiver.

These records are kept in Spark Membership, and the waiver is signed and stored electronically in each student’s profile. Card payments are processed by Shift4 (formerly Bambora) through Spark Membership.

We ask about allergies, special needs, injuries and medical conditions because martial arts is a physical art, and not knowing them could put a student at risk. Our admin team and instructors can see this information so they can teach safely.

Photos and videos of students

We show photos and videos of students on our website and social media only when the family has agreed in our training agreement, and we do not publish children’s surnames. To ask for a photo or video to be removed, email admin@dapomartialarts.com.

Emails and texts

Everyone with a booking or membership receives the messages we need to run classes safely: booking confirmations, class reminders, feedback after a trial class, schedule changes and urgent notices. Current students and families also receive our news email, with important dates such as closures and gradings. None of these are marketing, and we send them for as long as you book or train with us.

Our newsletter is different. It carries original videos and articles from the dojo, research on the benefits of martial arts training, and a practical strategy drawn from each issue. Current students and families receive it and can opt out when they join. People who have enquired or booked a trial class receive it for up to six months. Before that period ends, and when a student leaves, we ask whether you would like to keep receiving it, and we keep sending it only to people who say yes. The same applies to any promotional emails we send.

Every email from us has an unsubscribe link. Clicking it stops all our emails and texts to you, including class reminders and notices. If you unsubscribe while training with us, we will phone you about anything urgent, but it is then up to you to keep track of announcements such as closures and grading dates. To stop the newsletter and keep your reminders, ask us and we will take you off the newsletter list. You can also reply STOP to any automatic text, or ask us to unsubscribe you by emailing admin@dapomartialarts.com or calling 905-817-0453.

When you browse this site

We use Google Analytics to understand how people find and use this site: which pages are visited, how visitors arrived (for example, from a search), their approximate location, and the kind of device and browser they use. We use it to count visits and enquiries, not to identify anyone, and Google’s terms do not allow us to send it names, email addresses or other details that identify a person. We have set Google Analytics to keep this data for 14 months.

We do not run online advertising, and this site has no advertising or social media tracking pixel.

On the pages that carry one of our forms (Contact, School Programs, Corporate Workshops and Community Workshops), a script from Spark Membership gives your browser an identification number, stored in a cookie for up to 960 days, and sends Spark the pages you view, the page that brought you here and any campaign details in the link you followed. It also counts your visits. If you then fill in our contact form, [this history may be linked to your enquiry in our Spark Membership account; Spark to confirm].

Our website is hosted by Kinsta in its Toronto data centre and delivered through Cloudflare’s network. Kinsta’s servers record each request to the site in a log, including the visitor’s IP address, the page requested and the browser type. Kinsta’s documentation says these logs are kept for up to four days, and we look at them only to diagnose a problem with the site.

When someone reaches an address on this site that does not exist, our search plugin, Rank Math, records the address, when it was requested and how often, the page that linked to it and the browser type, so we can fix broken links. It does not record IP addresses. The log is emptied each time it reaches 1,000 entries.

You cannot comment on posts or create an account on this site, so we hold no visitor comments or logins.

Cookies

Google Analytics sets two cookies, _ga and one whose name begins _ga_, which last up to two years and let it tell one visitor and one visit from another. Spark Membership’s script, described above, sets cookies holding your identification number, your visit count and any campaign details from the link you followed, lasting up to 960 days. Cloudflare, which delivers this site, sets one cookie, __cf_bm, which helps tell people from automated bots; it expires after 30 minutes without activity.

You can block or delete cookies in your browser’s settings, and Google offers a browser add-on that stops Google Analytics from collecting data about your visits.

Videos on our reviews page play from YouTube, which may set its own cookies and whose privacy policy applies to the video player.

Some links on this site take you to services we use but do not run, and their own privacy policies apply once you are there:

  • Current Students and our class Schedule are pages on Notion.
  • Trial-class booking is on Spark Membership’s booking page, as described above.
  • Our Shop is on Big Cartel, which handles orders placed there.
  • Get directions opens Google Maps.
  • Our Facebook, Instagram, YouTube and LinkedIn links pass through our short links at dapo.co, run by Switchy, which counts how many times each link is clicked.

Who else handles your information

We use a small number of service providers, who hold information so they can provide their service to us:

  • Spark Membership (Sensei Holdco LLC, Miami, Florida): trial bookings, student records and waivers, and our automatic emails and texts. Spark sends text messages through Twilio.
  • Shift4 (formerly Bambora): card payments, through Spark Membership.
  • Google: our email (Google Workspace), which receives a notification of each new booking; Google Analytics; and YouTube for videos on this site.
  • Quo: our business phone and text line, which also receives a text notification of each new booking.
  • Notion: our student pages and internal workspace.
  • Dropbox: our photo and document archive.
  • Kinsta and Cloudflare: website hosting and delivery.
  • Big Cartel: our online shop.
  • Switchy: our dapo.co short links.

We do not sell personal information, and we do not share it with anyone for their own marketing. We do not put students’ or families’ names, contact details or records into AI tools.

Information stored outside Canada

Spark Membership and Google are based in the United States, as are some of our other providers. Information they hold for us may be stored or processed outside Canada, where it may be accessed by the courts, law enforcement and national security authorities of that country.

How long we keep it

We keep each person’s information together as one profile in Spark Membership, so everything in a profile is kept for the same period. We keep each profile for 25 years after our last contact with that person: their last booking or class, or the day they unsubscribe from our emails, whichever is later. That includes contact details, signed waivers, payment records, and notes from our instructors and admin team.

After 25 years we archive the profile in Spark Membership. Archived profiles can be opened only by our staff. We open one only when someone asks for their record or returns to training, however many years later, and we never use an archived profile to contact anyone. You can ask us to delete your information sooner (see Your choices).

Your choices

You can ask us in writing what personal information we hold about you or your child, how we have used it and who we have shared it with, and ask us to correct anything that is wrong. We will answer within 30 days. You can also ask us to delete it at any time, including your rank history, apart from records the law or our insurer requires us to keep.

Send requests to admin@dapomartialarts.com. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.

Changes to this policy

When we change this policy, we update it on this page and change the date at the top.
